ABOUT THIS ROLE 

We’re looking for an experienced Office Administrator to be an essential part of our office team!

The ideal candidate will be an individual who thrives working in a fast-paced environment, proactively dealing with purchasing needs, finance requirements and customer and supplier relationships, with a focus on excellent all-round customer service. 


Job Description: 

Reporting to the Contracts Officer and Senior Team, you will be responsible for providing administrative support across purchasing, finance and sales functions, ensuring that day to day business operations are completed efficiently, compliantly, and with a high level of professionalism.  Training and support will be given.  Candidates should have multi-function office experience, but do not need to have experience of all three roles below. 

Key Responsibilities: 

Purchasing 

  • Obtain quotations and raise purchase orders in accordance with company policy and EQHS management systems. 
  • Ensure best value through competitive quotes, price negotiation, and monitoring of supplier performance. 
  • Maintain supplier relationships and contracts, ensure deliveries meet specifications, and monitor consumables. 
  • Coordinate subcontracted works ensuring all risk assessments, permits and procedures are in place. 
  • Manage documentation including delivery notes, test certificates and purchase records. 

Finance 

  • Support the Finance Officer with sales and purchase ledger tasks including invoicing, credit control and reconciliations. 
  • Process purchase invoices, credit notes, and assist in preparing payment runs. 
  • Support with bank reconciliations, VAT returns, and updating the cash flow forecast. 

Sales & Administration 

  • Input and process sales orders, respond to customer enquiries, and liaise with production teams. 
  • Provide accurate and courteous front-of-house services, including answering calls, greeting visitors, and coordinating hospitality. 
  • Support with internal communication, events and general administrative duties as required. 
  • Maintain confidentiality in line with company policy 

Other Duties: 

  • Chair or minute internal meetings as needed 
  • Act as keyholder for the business and ensure reasonable levels of company security 
  • Deputise for colleagues including the front-of-house administrator during periods of absence. 
  • Comply with all health, safety, quality and environmental procedures. 

Person Specification 

Essential: 

  • Experience in a multi-functional office role incorporating finance, purchasing or sales support.
  • High level of IT literacy including Microsoft software, particularly Excel and Outlook
  • Strong communication and interpersonal skills – professional, polite and personable.
  • Accuracy and attention to detail, particularly in financial and document management.
  • Ability to work proactively, multi-task and meet deadlines in a busy environment.
  • Understands and maintains confidentiality and commercial sensitivity.

Desirable: 

  • Knowledge of ISO 9001 / 14001 
  • Experience working in a manufacturing/engineering environment. 
  • Previous use of finance software (e.g., Sage, Xero) or ERP systems 

Rewards and benefits 

Salary – Competitive 

Working Hours – 38 hrs /week  

Monday – Thursday 8.00am – 4.30pm (½ hour unpaid lunch break) 

Friday 8.00am – 2.00pm, or 2.30pm with ½ hour unpaid lunch break 

Flexible working applies to this role: alternative hours may be proposed for consideration.  Home working would not apply to this role.
